1. Privacy Policy
1.1 Who we are and what this policy covers
Seven Space Stays LTD trading as Seven Space (“Seven Space”, “we”, “us”, “our”) respects your privacy and is committed to handling personal information responsibly. This policy explains how we collect, use, share, retain and protect personal information when you visit our website; submit an enquiry or HubSpot form; make or enquire about an accommodation booking; stay at accommodation managed or facilitated by us; enquire about landlord/property-management services; arrange corporate, professional or group accommodation; subscribe to marketing; or otherwise interact with us.
1.2 Personal information we may collect

Identity information, such as name, title and, where legally or operationally required, nationality and identification/travel-document information.

Contact information, including postal address, email address and telephone number.

Booking and stay information, including arrival/departure dates, accommodation requirements, guest names, number of guests, booking history, access requirements and communications about a stay.

Payment and transaction records, including amounts paid, invoices, refunds and payment status. Complete payment-card details may be handled by a payment provider rather than stored by Seven Space.

Landlord/property information, including property address, property details, ownership/management information and information relevant to a requested management service.

1.3 How we collect information

1.5 Lawful bases
We will identify an appropriate lawful basis for each purpose for which we process personal information. Depending on the circumstances, this may include performance of a contract, compliance with a legal obligation, our legitimate interests (or those of another party), or consent. Where we rely on consent, it can be withdrawn. Where we rely on legitimate interests, we consider whether those interests are overridden by the individual’s rights and interests.
1.6 Bookings, Suppliers and corporate bookers
For bookings covered by the Seven Space Booking Terms, the accommodation Supplier is identified in the booking confirmation and Seven Space generally acts as agent in facilitating the booking. We may therefore share information with the relevant Supplier where necessary to administer and fulfil the booking.
Where a company or other organisation makes a booking or enquiry on behalf of employees, contractors or other guests, it must ensure that it is entitled to provide the relevant personal information to us and should make those individuals aware of how their information will be used.
1.7 HubSpot
Seven Space uses HubSpot to support customer relationship management, enquiry handling and website forms. When you submit an embedded HubSpot form, information entered into the form may be transmitted to and processed through HubSpot systems. This may include your name, email address, telephone number, organisation, enquiry details, page/form information and certain technical or interaction information.
HubSpot may also use cookies or similar technologies depending on the features enabled and your cookie choices. Non-essential HubSpot tracking technologies will be handled in accordance with the Cookie Policy and the website consent mechanism.
1.8 Wix and website hosting
The Seven Space website is built and hosted using Wix. Wix and connected applications may process technical information required to host, secure and deliver the website and may use cookies or similar technologies. The precise technologies in use will be confirmed through the website cookie audit.
1.9 Payment providers
The existing Booking Terms state that Seven Space sometimes uses Stripe to process card payments and does not store copies of card details in its own systems.

Seven Space does not sell personal information.
1.11 International transfers
Some service providers may process or store information outside the United Kingdom. Where personal information is transferred internationally, Seven Space will use appropriate safeguards or another lawful transfer mechanism as required by UK data protection law.
1.12 Retention
We keep personal information only for as long as reasonably necessary for the purpose for which it was collected and to meet legal, accounting, contractual, dispute-resolution and reporting requirements. Different categories of information may therefore have different retention periods.
We use Guesty to manage our accommodation bookings. Guesty retains guest data for as long as Seven Space remains an active customer. Once our account becomes inactive, guest data is deleted in significantly less than seven years, in accordance with applicable privacy regulations. However, you can request the deletion of personal information under GDPR at any time by emailing info@seven-space.co.uk.
1.13 Security
We use appropriate technical and organisational measures designed to protect personal information against accidental loss, misuse, unauthorised access, alteration or disclosure. No internet-based service can, however, be guaranteed to be completely secure.
1.14 Your data protection rights
Depending on the circumstances and applicable law, you may have rights to access personal information, correct inaccurate information, request erasure or restriction, object to certain processing, request portability of certain information, and withdraw consent where consent is relied upon. You also have an absolute right to object to the use of your personal information for direct marketing.

1.15 Marketing and online advertising
Seven Space may promote its accommodation, property-management and related services and may use digital advertising platforms such as Google, LinkedIn and Meta. Where implemented, cookies, pixels, tags or similar technologies may be used to measure advertising performance, understand whether a visitor reached our website following an advertisement, and support audience targeting or remarketing.
Information processed through these technologies may include online identifiers, IP address, device/browser information, pages visited, website interactions and campaign information. Where consent is required, advertising/tracking technologies will not be activated until the relevant consent has been provided through the cookie consent mechanism.
We may also send marketing communications by email or other electronic means where permitted by law. Recipients can unsubscribe or object to direct marketing at any time.
2. Cookie Policy
2.1 What are cookies and similar technologies?
Cookies are small files or pieces of information stored on or accessed from a device when a website is used. Similar technologies include pixels, tags, scripts and local storage. Seven Space uses or may use these technologies to operate and secure the website, provide requested functionality, process enquiries, understand website use and measure or support marketing.
2.2 Cookie categories
Strictly necessary
Technologies that are necessary for the website or a service specifically requested by the visitor, for example security, core functionality or remembering a privacy choice. These may be used without consent where the legal exemption applies.
Functional
Technologies that support additional features or remember choices and preferences. Whether consent is required depends on the specific technology and purpose.
Analytics
Technologies used to understand how the website is used, such as page visits, navigation and performance. The final classification and consent treatment will be based on the technologies actually installed and current UK rules.
Marketing and advertising
Technologies used for online advertising, advertising measurement, audience targeting, remarketing or profiling. Where required, these will not be activated until the visitor has consented.
2.3 HubSpot forms and technologies
Seven Space uses HubSpot forms on the website. Information entered into a form may be sent to HubSpot for enquiry/CRM purposes. HubSpot may also use cookies or similar technologies depending on the configuration in use. A HubSpot form being embedded on a page does not automatically mean every HubSpot technology is strictly necessary; non-essential tracking will be subject to the relevant consent controls.
2.4 Wix technologies
Wix may use technologies required to operate, secure and deliver the website. Other Wix or connected-app technologies may be present depending on the features enabled. The final cookie inventory will identify the technologies actually present.
2.5 PPC, social advertising and conversion tracking
Seven Space may run pay-per-click and other digital advertising through platforms such as Google, LinkedIn and Meta. If conversion tags, pixels, remarketing or other online-advertising technologies are installed, they may process information about ad interactions and subsequent website activity. Where consent is required, these technologies will only operate after the visitor has made the appropriate choice through the cookie banner/settings.
2.6 Consent and cookie settings
Visitors will be given clear controls for non-essential technologies. The intended website implementation is to provide options to accept non-essential technologies, reject them, or manage preferences by category. Visitors should also be able to revisit their choices using a persistent Cookie Settings control.

3. Booking Terms & Conditions
3.1 Definitions
3.1.1 Seven Space Stays LTD trading as Seven Space is a limited company registered in England and Wales under company number 12453468.
3.1.2 “You” or “your” means the person or organisation making the booking through Seven Space.
3.1.3 “Supplier” means the organisation, individual, partnership or company which supplies the accommodation. The Supplier’s identity/details will be confirmed in the booking confirmation.
3.2 The booking

Your booking is with the Supplier. Seven Space acts as agent for the Supplier in facilitating a booking through its website, by email or telephone, and the booking contract is between you and the Supplier in accordance with these terms.

These terms apply to bookings made via the Seven Space website, by email, telephone or in person with Seven Space.
-
A booking is confirmed and a legal contract concluded once payment has been successfully made. No booking is made where payment is declined or unauthorised.
-
Seven Space may facilitate payment for the booking. Under the existing terms, the guest does not pay Seven Space a separate fee for its agency service; Seven Space charges the Supplier a management fee.
-
The booking is for a short-term stay for leisure or temporary purposes and does not give rise to an assured shorthold tenancy or lease.
-
Existing terms permit bookings from one night up to six months and bookings up to 9.00pm on the first night.
-
Bookings may only be made by a person aged 18 or above and at least one person aged 18 or above must stay in the accommodation.

A booking may not be re-sold or re-assigned without the Supplier’s express authority.
3.3 Payment and cancellations

Payments may be made by bank transfer, credit card or debit card, subject to the payment options offered for the booking.

Full payment is required upon booking unless the Supplier expressly agrees otherwise. Seven Space may supply an invoice on behalf of the Supplier.

The total price will be presented before the booking is confirmed. Pricing may be dynamic; later price changes do not create a right for either party to adjust the price of an already confirmed booking.

Unless different cancellation terms are shown in the reservation information before booking, the existing Seven Space cancellation provisions apply.

Under the existing terms, Seven Space (on behalf of the Supplier) and the guest may cancel up to 14 days before the first day of the booking, with a full refund to the guest.

Under the existing terms, where the guest cancels within 14 days, the Supplier may retain the amount paid and pursue further amounts due, subject to any replacement booking/refund provisions.
-
The existing terms permit the Supplier to cancel within 14 days where necessary for reasons outside reasonable control or due to overbooking caused by booking-system delay/error, with a full refund.
3.4 Your stay

Check-in/check-out times and access arrangements will be provided in the reservation information or separately. Additional charges may apply for agreed early check-in or late check-out.

Unless expressly stated otherwise, the booking is for serviced accommodation rather than hotel or guest-house services.

The existing terms state that linen, towels, cleaning information and Wi-Fi are provided.
-
The person making the booking is responsible for the conduct of all persons staying and for ensuring compliance with these terms.
Guests must not:

Smoke inside the premises or common internal areas.
-
Bring pets unless the Supplier expressly agrees, except where applicable law requires accommodation of an assistance animal.
-
Bring dangerous or hazardous materials/equipment onto the premises.
-
Tamper with fire alarms or emergency equipment.
-
Remove, damage or destroy Supplier property.
-
Operate a business, trade, event or commercial activity from the property without permission.
-
Use provided technology to access or download unlawful material.
-
Cause unreasonable disturbance or excessive noise.
-
Fail to return keys/fobs/cards where required.
3.5 Damage, theft and additional costs
The existing terms allow Seven Space, on behalf of the Supplier, to recover the reasonable cost of repairing/replacing damaged Supplier property, replacing stolen items, and addressing breaches of the non-smoking policy. The current document states a standard smoking charge of £150+ and permits additional charges where smoking causes further damage.
The existing terms also allow charges to be applied after checkout where necessary, or invoiced where a card charge cannot be made, with payment due within 14 days. A breakdown/receipt is to be provided for additional charges.
3.6 Privacy, data protection and payment security
Personal information connected with a booking will be handled in accordance with the Privacy Policy above. Suppliers may be required to maintain certain guest records and, in some circumstances, travel-document information.

Stripe is used as a secure third-party card processor and Seven Space does not store card details in its own systems.
3.7 Enquiries and complaints
Seven Space will seek to respond to reasonable enquiries relating to a booking. Where an issue relates directly to the accommodation, the guest may also need to contact the Supplier using the details in the booking confirmation.
Guests should raise problems during the stay as soon as possible so the Supplier has an opportunity to help. Formal complaints about the accommodation should be submitted to the Supplier using the contact information in the booking confirmation. Complaints about Seven Space’s booking service should be submitted to [info@seven-space.co.uk].
Seven Space aims to respond to formal complaints within two working days, or advise when a response can be expected.
3.8 Liability
Seven Space acts as an agent and liability relating to the booking/stay generally lies with the Supplier, while also limiting the Supplier’s liability and excluding certain indirect/consequential losses and events outside reasonable control. Nothing in the terms is intended to exclude liability that cannot lawfully be excluded, including liability for death/personal injury caused by negligence or fraudulent misrepresentation.
3.9 General contractual provisions

Severability: if one provision is invalid or unenforceable, the remaining provisions continue.

Waiver: a failure to enforce a provision does not automatically waive future enforcement.

Entire agreement: the terms form the agreement relating to their subject matter, subject to rights that cannot legally be excluded.

Third-party rights: the Supplier may enforce its rights against the guest/person using the accommodation; otherwise third-party rights are excluded unless expressly provided.

Governing law/jurisdiction: the existing terms specify English law and the courts of England and Wales.
3.10 Guest obligations
The existing Seven Space document requires guests to:

Occupy the property only for the booked rental period and not provide overnight accommodation to undeclared guests.

Pay for loss or damage caused and take reasonable care of the property.
-
Leave the property clean and tidy at the end of the booking.
-
Permit reasonable access by the owner/authorised representatives where appropriate.
-
Avoid nuisance and excessive noise.
-
Not smoke in the property or associated internal public areas.
-
Not bring pets except where permitted/required as set out above.
-
Read and follow safety notices and advice.
-
Not re-let or sublet the property.
-
Use the property only for the permitted accommodation purpose and not for unauthorised parties, events or gatherings.

Not light fires or candles where prohibited.
-
Comply with visitor rules applicable to the property.
-
Not place wet/damp articles on room heaters.
4. Website Terms of Use
4.1 Use of the website
The Seven Space website is provided for information about our accommodation, property-management and related services and to enable users to make enquiries or access booking information. You must not misuse the website, attempt unauthorised access, introduce malicious code, interfere with its operation, or use it for unlawful purposes.
4.2 Website information and availability
We aim to keep website information accurate and up to date, but availability, property information, pricing, photographs, service descriptions and other content may change. Booking-specific information presented before confirmation and in the booking confirmation should be read together with the Booking Terms.
4.3 Intellectual property
Unless otherwise stated, website content, branding, text, graphics and other materials are owned by or licensed to Seven Space. They may not be reproduced, republished or commercially exploited without permission, except as permitted by law.
4.4 Third-party websites and services
The website may link to or integrate third-party websites and services, including booking, payment, CRM, mapping, social-media or other platforms. Those services may operate under their own terms and privacy information. Seven Space is not responsible for the content or availability of third-party websites merely because a link is provided.
4.5 Changes and suspension
We may update website content, functionality or these Website Terms from time to time. We may also suspend or withdraw parts of the website for maintenance, security or operational reasons.
